An after-hours chatbot can answer routine questions and collect an inquiry while your team is offline. The useful outcome is a conversation your team can act on: what the visitor needs, how to contact them, and what should happen next.
Imagine a consulting firm whose owner finishes work at six. A visitor arrives later that evening to ask whether the firm handles their type of project. A helpful bot can explain the published services, gather a short brief, and describe when the team will respond. It should not invent a price or promise that a staff member is online.
Start with the questions your visitors actually ask
Before adjusting the widget, collect a short list of common questions from your inbox and sales calls. For many service businesses, the starting points are service scope, service area, availability, how an initial consultation works, and what information is needed for an estimate.
Give your bot current company information. State which questions require a person. If prices depend on project scope, explain the factors involved and invite the visitor to request an estimate. Specific, approved information is more useful than instructions to “be persuasive.”
Design a short path from question to inquiry
- Answer the immediate question. Help the visitor establish whether your business is relevant before asking for a detailed brief.
- Offer a clear next step. A contact request or a booking request should have a descriptive label.
- Collect only useful information. A name, email address, and short description of the need may be enough. Require a phone number only when the next step actually needs one.
- Explain what happens after submission. Give a response window your team can reliably meet, and identify the expected contact channel.
Visitor: “Can you help with a website for my accounting practice?”
Assistant: “Our team works on business websites. Tell us what you want the site to do, and we can review the project. What email address should we use to respond?”
Confirmation: “Your request has been received. Our team will review it during business hours.”
This is an example, not a real customer conversation or a promise about your response time.
Set it up in Chatbot Leads
Use your bot’s company information to define the services it can discuss. In Edit Bot → Lead Collection, configure the form fields, required information, supporting copy, and confirmation message. Adjust the form and widget appearance to fit the website, then review the chat lead form and standalone form previews.
If you also accept consultation requests, configure Availability. The booking flow collects a request for the team to review; do not describe a requested appointment as confirmed before approval. The booking setup guide walks through that distinction.
Test the actual embedded widget as well as the preview. Submit your own clearly labeled test inquiry, check the saved record, and confirm the responsible person knows where to find it. A preview is useful for appearance; it is not proof that a live lead has been received.
Measure whether the workflow is useful
Review conversations started outside business hours, completed inquiries, qualified inquiries, and the next-day response process. Compare consistent time periods. Keep test submissions and spam out of your assessment, and avoid treating every conversation as a sales opportunity.
Review unanswered questions in your logs and, where available on your plan, intelligence reports. Improve the answers and form when the same confusion appears repeatedly. Read more about finding gaps in your bot’s answers.
Common questions
Can a bot handle every inquiry overnight?
No. It needs a route for questions it cannot answer. Pricing commitments, unusual requests, and sensitive matters may need a person.
Should I remove the normal contact page?
Keep a straightforward contact route available. Some visitors prefer a form or email to a conversation.
Does collecting a lead automatically start a follow-up campaign?
Do not assume that it does. In Chatbot Leads, review the lead and enroll appropriate contacts in a configured cadence when that feature is available to your organization.
Build an after-hours inquiry workflow
Start with one service, one concise form, and a response promise your team can keep.
