Your chatbot should collect enough information to help the team respond appropriately. Start with the visitor’s need, one or two questions about service fit, and a reliable contact method. Add a question only when the answer changes what your team will do next.
A long form can collect a lot of data without producing a better inquiry. A shorter form with clear labels can tell a salesperson whether to offer a consultation, ask for more detail, or refer the visitor elsewhere. Qualification is a routing decision, not a judgment about the person.
Five question types worth considering
| Purpose | Example question | How the answer helps |
|---|---|---|
| Understand the need | What would you like help with? | Identifies the service or problem before the team responds. |
| Check service fit | Where is the project located? | Useful when the business serves defined locations; unnecessary for some remote services. |
| Understand timing | When would you like to get started? | Helps prioritize an appropriate response without promising availability. |
| Understand scope | What is the main outcome you want? | Gives the team context for an introductory conversation. |
| Arrange a response | What email address should we use to follow up? | Creates a practical next step with the visitor’s chosen contact details. |
These are examples to adapt, not a requirement to ask all five. A simple callback inquiry may need fewer fields. A project estimate may justify a little more context.
Make required fields earn their place
For each required field, finish this sentence: “Without this answer, we cannot…” If the team can still respond effectively, consider making the field optional or asking for it later.
A phone number makes sense for a requested phone call. It may be unnecessary when the visitor asks for an email response. Organization name can help with business-to-business inquiries, but forcing visitors to complete irrelevant fields adds friction.
Do not ask for passwords, payment card information, or other sensitive details in a general sales inquiry. If a specialized service needs additional information, use the business’s appropriate process after initial contact.
Example: a short professional-services inquiry
- Name — required for the reply
- Email — required for the chosen follow-up channel
- What would you like help with? — required, short description
- Organization — optional
- Preferred start timeframe — optional
Supporting text: “Tell us a little about your project so we can direct your request to the right person.”
Confirmation: “Your inquiry has been received. Our team will review the details and respond by email.”
For a local service business, a service-area question may matter more than organization name. For a consultation, the topic and preferred meeting type may be more useful than a detailed budget breakdown.
Use budget questions carefully
Ask about budget when it materially affects which service or scope the team can offer. Explain why you need it, allow uncertainty where appropriate, and avoid making the visitor feel they need a perfect answer to start a conversation.
If your business does not publish a fixed price, the bot should not invent one. Collect the scope information and let the team prepare the next step.
Configure and review the form in Chatbot Leads
Use Edit Bot → Lead Collection to review the configured fields, required flags, form copy, and confirmation. Check both the chat lead form and standalone form previews where you use those embeds. Test with a realistic short answer, a longer answer, and a missing required value.
Review a sample of incoming inquiries with the people who handle them. Note which questions produce actionable context and which repeatedly create confusion. If the bot already learned a detail in conversation, avoid asking the visitor to repeat it without a reason; verify what your current form actually prefills rather than assuming every answer transfers automatically.
Use the conversation logs and available intelligence reports to identify recurring gaps. Improve one question at a time so you can understand the effect.
Common questions
How many questions should a bot ask?
There is no universal number. Start with the minimum needed to route and respond, then add fields only when they solve a specific problem.
Does a completed form mean a lead is qualified?
No. Review whether the request matches the business’s services and whether there is a sensible next step. A completed form is an inquiry, not a guaranteed sale.
What happens after qualification?
Assign a next step: a personal reply, a booking request, or an appropriate follow-up cadence.
